Key takeaways
- Softr has a free plan and three paid plans: Basic at $19, Pro at $99 and Business at $329 a month on annual billing, or $25, $119 and $395 billed monthly.
- The bill depends more on builders and app users than on the plan name. Each plan includes a set number of both, and extra ones cost more.
- Softr decides whether someone is a team user or a client user by their email domain, so anyone who logs in with a Gmail address counts as a client.
We build client portals on Softr, Catalytics is listed in Softr’s partner directory, and we have this pricing conversation with nearly every client before a build starts. Every figure below was checked against Softr’s own pricing page on 16 September 2026.

Is there a free version of Softr?
Yes. Softr’s Free plan has no price and, in Softr’s words, is free forever. It includes unlimited apps, up to 3 builders, 5 app users, 1,000 records per database and 500 workflow actions a month.
That is enough to build a real app and show it to a handful of people. What usually ends it is the user count, because five logins run out the moment a portal goes to actual clients.
How Softr counts builders and app users
Softr charges for two kinds of people, and they are easy to mix up.
A builder is anyone who can open Softr Studio and change the apps, databases or workflows. An app user is anyone who logs in to an app you have published.
Softr counts app users by unique email address across all your published apps, so the same person in three apps counts once. Deactivated users are not counted, and your builders can log in to your apps without using up the app user allowance.
Builders are where Softr’s “no per-seat pricing” description gets less exact. Basic includes one builder, Pro includes two and Business includes three, and every builder beyond that is billed monthly: $5 on Basic, $10 on Pro and $20 on Business.
Why a Gmail login counts as a client user on Softr
Softr splits app users into team users and client users, and it decides which is which by email address.
A team user shares a business email domain with one of your builders. Everyone else is a client user, and Softr counts every free email domain, Gmail included, as a client.
In practice, that means a contractor or a member of staff who logs in with a personal Gmail address takes up one of your client seats. On Basic there are only five of those. If your team does not all use company addresses, count them as clients when you pick a plan.
What Softr costs for a real team
These are the shapes we see most, priced on annual billing.
| Setup | Builders | Staff | Clients | Plan | Monthly | Annually |
|---|---|---|---|---|---|---|
| Internal tool for a small team | 1 | 5 | 0 | Basic | $19 | $228 |
| Client portal for 30 clients | 2 | 8 | 30 | Pro | $99 | $1,188 |
| Client portal for 50 clients, three builders | 3 | 10 | 50 | Pro plus one builder | $109 | $1,308 |
| Client portal for 80 clients | 2 | 10 | 80 | Pro plus 30 client users | From $129 | From $1,548 |
| Larger operation needing two-factor sign-in | 3 | 25 | 100 | Business | $329 | $3,948 |
The jump from Basic to Pro is usually forced by clients rather than features, because Basic allows only five. For the portal with 80 clients, the extra users start at $1 each, but Softr’s own calculator gives the exact figure, and past a certain point Business, with 100 client users included, becomes the simpler choice.
What happens when you hit Softr’s workflow limit
When a workspace uses up its workflow actions for the month, Softr pauses the workflows until the limit renews or you upgrade. Anything those workflows were doing, such as sending notifications or updating records, stops until then.
That matters more than it sounds for a client portal, where a paused workflow can mean clients stop getting notifications. On Basic, 2,500 actions a month can go quickly if a workflow runs on every change to a busy table.
How Softr pricing compares with Airtable for a client portal
The two tools charge for outside access in different ways. Airtable charges per editor, and adds its Portals add-on for external guests, from $120 a month for 15 guests on the Team plan. Softr’s Pro plan, at $99, includes 50 client users before it charges for more.
Keeping your data in Airtable and putting Softr in front of it means paying for both: Airtable’s editors and Softr’s plan. We worked through those combinations in Softr and Airtable, and the Airtable side on its own is in what Airtable actually costs.

Is Softr free forever?
Softr says its Free plan is free forever. It has no time limit, and it stays capped at 5 app users, 1,000 records per database and 500 workflow actions a month.
Does Softr charge per user?
Partly. Each plan includes a set number of builders and app users at no extra cost. On Pro and Business you can add app users beyond the allowance, billed monthly, and on every paid plan extra builders cost between $5 and $20 a month.
Which Softr plan do most client portals need?
In our experience, Pro. Basic includes only five client users, which most real portals outgrow, and Pro includes 50 along with Google sign-in, comments and e-signatures.
Does Softr offer a discount for non-profits?
Yes. Softr offers a 50% discount for non-profits and educational organisations.
Softr’s plan prices are simple. What your bill looks like depends on three counts: how many people build, how many staff log in, and how many clients need access, with personal email addresses landing in the client count.
If Softr is new to you, what Softr is and whether you still need Airtable covers the basics. For a portal, how a Softr client portal works goes into permissions and cost together. And if you want one built, Softr development is how we approach it.
