    How much does Airtable cost?

Airtable costs $20 per editor per month on the Team plan and $45 on Business, both billed annually, and the Free plan costs nothing for up to five editors. Enterprise Scale is priced by Airtable's sales team. Only people who edit records are paid seats, so viewers, form submissions and share links add nothing to the bill.

The full breakdown, including the seat maths for different team sizes, is in our guide to Airtable pricing. This calculator answers the next question: which plan your own numbers need, and for how long.

What happens when you hit an Airtable limit?

When a base reaches its plan's record or attachment limit, Airtable keeps the data and the base keeps working, but nobody can add more records or attachments until the workspace upgrades. Automation runs and API calls simply stop at the plan's monthly cap. Nothing is deleted, but any work that adds records waits until someone upgrades.

When does an Airtable base start to slow down?

In our experience, an Airtable base starts to feel slower at around 400,000 records, well before the 500,000-record ceiling on Enterprise Scale. The calculator flags the month your largest base is projected to reach that point, because it is usually the moment to start planning what comes next, while there is still room to do it calmly.

The usual options at that stage are archiving records nobody queries, splitting the data across bases, or moving the heaviest tables to a database built for that volume. Which one fits depends on how the base is used, and that is the work an Airtable consultant does.

Should external users go through Softr or Airtable Portals?

For a handful of external users either works. Airtable Portals starts at $120 a month for 15 guests on Team and $150 on Business, and Airtable does not publish the price above 15. Softr includes 50 client users on Pro at $99 a month and 100 on Business at $329, billed annually, so its price stays visible as clients grow.

Cost is only part of the choice. Softr pricing covers its plans in detail, and Airtable client portal limits covers what each option can and cannot do for a client-facing portal.

When is a custom build cheaper than Airtable?

A custom build gets cheaper than Airtable when what you would pay for platform seats and portal fees over a few years passes the cost of the build and of running it. That usually takes many editors, a large external user base, or data beyond Airtable's published limits. Enter your own build estimate above to see the month.

Cost is rarely the only reason to move, and often not the main one. Hard limits, speed at high record counts and features the platform cannot offer matter as much. Custom software vs off-the-shelf walks through the rest of that decision.

    Frequently asked questions

    How accurate is this calculator?

It uses the list prices and plan limits Airtable and Softr publish, checked on 27 October 2026, with annual billing. It leaves out taxes, AI credits, discounts and add-ons other than portals, and Airtable Enterprise Scale, whose price is not published. Treat the result as a floor for the platform bill, then confirm it with the vendors.

Does growth apply to users too?

No. Growth applies to records, attachments and automation runs, because those grow with the work. Editors and external users stay at the numbers you enter, since teams and client lists usually change in steps rather than by a steady percentage. Change those inputs to test a bigger team.

Why is there no default build estimate?

Because any number we put there would read like a quote, and a custom build depends entirely on what is being built. If you have an estimate from a developer or an agency, type it in, along with what it would cost to run each month, and the calculator shows when the platform bill catches up with it.
