A growing client base — with an onboarding process that required 8 manual steps per client
Nomads Cast helps brands publish high-converting social video content at scale — removing the content creation bottlenecks that slow audience growth and drive up customer acquisition costs. As their client base grew, so did the operational weight of bringing each one on. Every new client meant the same 8-step manual sequence, handled by a team member from start to finish.
The process touched every tool in the stack: a Jotform questionnaire sent by email, a contract created and managed manually, a Google Drive folder structure built from scratch for each client, questionnaire answers and files transferred into those folders by hand, a new Slack channel created between the client and the Nomads Cast team, specific Drive subfolders bookmarked into that channel, reminders sent manually when clients hadn't completed their forms, and onboarding status updated by hand in whatever system was tracking it.
Each step was error-prone and none of them were connected. If a client submitted their questionnaire late, someone had to chase it. If a folder wasn't set up correctly, someone found out when files were missing. Onboarding status was only as accurate as whoever last updated it. The process worked when volume was low. It stopped working when the business started to grow.

A three-tier automation system — fully automated and fully in the team's control

The design requirement from Nomads Cast was precise: full automation and full control. The team wanted no human steps required to complete onboarding, but they also wanted the ability to manage individual clients through the process without being locked out of it. These two objectives drove the architecture.
We built a Notion-based control panel where an operator can turn a specific client's onboarding process on or off at any point. The automation runs end-to-end without intervention — but the team retains visibility and override capability at every stage. The control panel gave Nomads Cast the confidence to hand the process to the system, knowing they could step in when needed.
End-to-end automated onboarding workflow
Every manual step in the old process was replaced with an automated trigger. When a new client enters the system, the workflow fires: questionnaires are sent automatically, the Google Drive folder structure is generated, files are routed to the correct location as they come in, a Slack channel is created between the client and the team, the relevant Drive subfolders are bookmarked into that channel, and reminders go out on a schedule if anything is outstanding — all without a team member touching it.
The workflow runs through Make.com, connecting Notion, Go High Level, Jotform, Google Drive, Gmail, and Slack into a single automated pipeline. What previously required 8 separate manual actions now happens in sequence, triggered by a single event. Onboarding status updates automatically at each stage. The team always knows where every client stands without checking in manually.
Data capture system — no matter when or where
The third layer of the system addressed a specific failure mode in the old process: client-submitted data that arrived at unpredictable times and through inconsistent channels. The data capture system ensures that regardless of when a client submits their information or which form they use, that data is stored, organized, and filed in the correct location automatically.
No manual data entry. No re-uploading files. No checking whether a questionnaire was completed and then moving the answers somewhere else. The system captures it, routes it, and updates the record — closing the loop on the part of the old process that was most prone to human error.
